Position Summary

The Billing Administrator plays a vital role in ensuring the accuracy and timeliness of invoicing for staffing services. This position is responsible for processing time and materials data, creating manual bills, and generating client invoices within the PeopleSoft system. As a key member of the billing team, the Billing Administrator also serves as a versatile contributor, taking on ad hoc responsibilities as business needs evolve. This role supports process improvements and helps drive efficiencies across the billing department.

Responsibilities

  • Responsible for running the weekly billing on-cycle and off-cycle processes within PeopleSoft system
  • Review billing output to ensure all data has generated as expected; research and resolve any discrepancies prior to final invoice generation.
  • Enter and validate weekly billing adjustments in PeopleSoft to ensure accurate reporting
  • Prepare & distribute billing adjustment summary reports in a timely manner.
  • Manage the Billing Purchase Order queue in Salesforce, ensuring the correct biller is assigned.
  • Creating manual invoices in Peoplesoft Financial System
  • Collaborate closely with the Payroll Administrator to ensure timely weekly processing.
  • Identify and recommend process improvement opportunities to enhance efficiency and accuracy.
  • Administer and maintain billing requirements within Vendor Management Systems (VMS).
  • Perform other related duties as assigned to support the billing team and department goals.

Additional Responsibilities

Skills

  • Bachelor’s degree in accounting field preferred but not required
  • 3+ years of billing or financial operations experience, preferably in a staffing or professional services environment
  • PeopleSoft and billing experience required
  • Strong understanding of accounting principles and revenue recognition
  • Excellent verbal and written communications skills
  • Customer service orientation for internal and external stakeholders
  • Collaborative team player with a proactive approach to process improvement
  • Ability to multitask in a fast-paced environment
  • Analytical mindset with ability to troubleshoot billing issues
  • Proven knowledge of MS Office products
