Position Summary

The Administrator is responsible for providing all office management and administrative support to assigned senior managers. This individual will prepare daily, weekly, monthly, and quarterly production and activity reports. The Administrator will ensure that the staff adheres to corporate policies, procedures and processes.


  • Upload charts worked into ReveiwMate for weekly (Providence – every 20th chart)/monthly audits
  • Pull weekly productivity reports for all clients and provide to Compliance / Audit Managers
  • Track scheduled vs actual time worked for all coders
  • Create TestCraft (Brillium) report and send to leadership team 
  • Provide clerical and administrative support including word processing in Microsoft Word, formatting spreadsheets in Microsoft Excel; file, copy and shred as requested
  • Manage the calendar, events, expenses and travel for assigned Senior Management
  • Pull SAS reports and navigate proprietary ATS for other data to prepare monthly and quarterly reports and presentations
  • Prepare and distribute production and other specialized reports to corporate management, field management and staff on a daily, weekly, monthly and quarterly basis, e.g. phone time, headcount, org chart, etc.
  • Update proprietary ATS daily, manage account classifications and other sales related information sales; track sales and recruiting information as directed by senior manager
  • Track operational data by function for turnover, bonus calculations and individual sales goals

Additional Responsibilities

  • Lead or participate in the management of all company sponsored events as assigned
  • Ensure proper coverage of all reception duties including answering and directing phone calls, and greeting building visitors
  • Prepare and distribute timesheets and phone time reports; prepare attendance report as requested
  • Order and maintain supplies; file, interact and coordinate with property management company and vendors for any required repairs; resolve copier, fax and other equipment issues
  • Notify HR of personnel changes and terminations
  • Meet and greet all candidates for staff positions
  • If requested, meet with all new hires, provide a tour of the facility and outline office policies
  • Ensure connectivity, configuring software, researching and resolving issues
  • Support office Technical Recruiters as requested with resume searching and entry, data mining, light marketing materials, client information and presentations
  • Provide office support for other senior managers and Directors of Strategic Accounts as requested

  • Excellent verbal and written communications skills is a must
  • Creative, outgoing, energetic person with a demonstrable track record of exceeding goals
  • Ability to multitask in a fast paced environment
  • Ability to sell opportunities to prospective candidates
  • Proven knowledge of MS Office products, including Visio, Excel, PowerPoint
  • Ability to maintain regular attendance and work all hours necessary or required
  • Knowledge of PeopleSoft preferred


High School Graduate or Equivalent


  • EPIC certified if working with Healthcare IT
